SMART Shipping Software Implementation

Icon SMART softwareCampus Mail Service is proud to bring you a new tool for sending out departmental packages. Effective April 1, 2023, the existing Enterprise Shipping Solution (ESS) system will be replaced by S.M.A.R.T.

Previously, departments were either using ESS or attaching UA Charge Slips when shipping outgoing packages. All departments that send packages will need to transition to preparing their packages in S.M.A.R.T. Letter mail and Flats (large, flat envelopes) can continue to be sent with UA Charge Slips.

S.M.A.R.T. is a best-in-class powerhouse shipping application for processing packages using United States Postal Service (USPS), UPS, and FedEx. Departmental users can easily shop shipping options to identify the lowest cost or fastest delivery method, saving time and money. S.M.A.R.T. offers commercial base pricing discounts, address corrections, free insurance on Priority Mail and Priority Mail Express, and more. USPS shipments processed through S.M.A.R.T. yield savings of 15-42% compared to retail rates and all UPS and FedEx shipments are processed under the University’s contract rate. These discounts are passed directly to the departments, less a nominal handling fee of 10% for domestic shipments and $5 for each international shipment to offset the investment in S.M.A.R.T.

To create a S.M.A.R.T. account:
  1. Complete the S.M.A.R.T. User Request Form. You will receive an email with instructions to complete the required training in LMS.
  2. Within two (2) business days after the LMS training is complete, your SMART account will be set up and you will receive an activation email from Quadient with the subject "Quadient - Welcome to S.M.A.R.T."
  3. Click the link in the activation email to activate your account and set your password. S.M.A.R.T. does not currently use single sign on so you will not automatically be logged in through MyBama.
  4. The activation email expires in one day. If the link is expired when you try it, choose “reset password” and it should send you a new link.
Campus Mail charges a nominal handling fee of 10% for domestic shipments and $5 for each international shipment to offset the investment in S.M.A.R.T. This fee is charged on the discounted shipping rates departments receive when using S.M.A.R.T. S.M.A.R.T. offers commercial base pricing discounts, address corrections, free insurance on Priority Mail and Priority Mail Express, and more. USPS shipments processed through S.M.A.R.T. yield savings of 15-42% compared to retail rates and all UPS and FedEx shipments are processed under the University’s contract rate. These discounts are passed directly to the departments.
Handling fees will be show in the shipping total details when the shipment is created, but only the total fees will pull over to the monthly FUPLOAD. FOAP Information in S.M.A.R.T. Getting and maintaining accurate FOAPAL information in S.M.A.R.T. is crucial. Any FOAP that needs to be available in S.M.A.R.T. must be requested by the department through this LINK. Please allow up to two business days for the FOAP to be loaded in the S.M.A.R.T. system.
S.M.A.R.T. user accounts will either be able to select from any FOAP in S.M.A.R.T. or will be locked to one FOAP. If a user only needs access to charge shipments to one FOAP, them locking the user to one account reduces errors. If a user needs to charge to two or more FOAPs then they will have to select the correct account each shipment, but will only have access to FOAPs that have been verified and validated. Users will not be able to input individual components of a FOAP into the system.
You can access S.M.A.R.T. from any web-connected browser. The website address is smart.quadient.com. The link is provided in the Campus Mail section on the MyBama Employee page and will be located on the Campus Mail website under Departmental Mail Services. Your username will be your MyBama email address, and your password will be one you choose.

Package Tracking

Incoming Packages

USPS: The United States Postal Service (USPS) does not deliver to on-campus addresses. All package addressed to a University address is sent to Campus Mail Service for delivery. Campus Mail delivers based the box number (870_ _ _). Any package that is addressed without a box number or to a box number that is not valid is returned to the sender. USPS packages are generally received at the Campus Mail facility around 3pm each business day. Packages are sorted, processed, and delivered to the mail delivery routes the following business day.

Packages being shipped via USPS should be addressed as such:

DEPARTMENT NAME

BOX # 870_ _ _

STREET ADDRESS

TUSCALOOSA, AL 35487- _ _ _ _ (last 4 digits of your box #)

UPS & FedEx: UPS and FedEx will deliver directly to your department’s street address. Sometimes, USPS will make the final leg of the delivery for packages that began their shipping journey with UPS or FedEx. Due to this we highly, recommend putting your Box # on all packages to avoid your item being delayed or returned to the sender.
