MAILING SERVICES

Incoming Mail Items

All departments with a registered mail stop (mailbox) are eligible to receive business mail on campus. Departments without a registered mailstop will have to rent a post office box off-campus to receive mail through the USPS and will not be eligible to receive intra-campus mail deliveries.

USPS: The United States Postal Service (USPS) does not deliver to on-campus addresses. All mail addressed to a University address is sent to Campus Mail Service for delivery. Campus Mail delivers based the box number (870_ _ _). Any mail that is addressed without a box number or to a box number that is not valid is returned to the sender. Mail is generally received at the Campus Mail facility around 8am each business day and is sorted and delivered to the mail delivery routes the same day.

Business Reply Mail: Business Reply Mail (BRM) is a service provided by the United States Postal Service (USPS) that enables a sender to provide a recipient with a convenient, prepaid method for replying to a mailing. Providing a prepaid reply envelope or postcard may increase the chances of receiving a reply. Departments must use specially printed return envelopes that list their FOAP to utilize the BRM service. Departments are only charged the associated postage and BRM fees for mail that is returned.

Intra-Campus Mail: Mail that is sent between University mail stops is sent via intra-campus mail and requires no postage. All Intra-Campus Mail must comply with the Private Express Statutes.

Outgoing Mail

Intra-Campus Mail: Intra-campus mail is used to send mail between University mail stops, and requires no postage. All Intra-Campus Mail must comply with the Private Express Statutes, which essentially means the mail must be between bona fide University departments or organizations and be part of University business activity.

USPS: All outgoing University business mail must be accompanied with a charge slip (either domestic or international).

Outgoing mail may be given to the Campus Mail carrier during regular mail collection or placed, with the attached charge slip, in a CAPS box for collection.

As a courtesy to University faculty and staff, pre-stamped personal mail may be included with outgoing mail or placed in CAPS boxes. Personal mail must be sealed, have the correct postage affixed, and should not be bundled together with departmental mail.  Under no circumstance may personal mail be billed to a departmental account.

Departments are not authorized to use stamps or purchase their own meter to process University mail.
