Campus Mail Service provides delivery and pick-up services to over 220 mail stop locations across the UA campus each day. Most departments receive service twice a day.

Faculty/staff should be reminded that all incoming and outgoing mail processed by Campus Mail Service must be University-business related. Personal mail & packages should not be sent to the workplace.

Personal mail interferes with the transfer of official correspondence between campus offices and delays the processing and delivery of mail. This policy also restricts using University resources to deliver personal mail and packages to campus departments.

Campus Mail Service may audit all campus mailings for content by visually inspecting a random sample from mailings to ensure compliance with relevant statutes and policies.

As a courtesy to University faculty and staff, Campus Mail Service will pick-up any stamped personal mail from departments along with other mail that is picked up at a regular pick-up location. Personal Mail must be sealed and have the correct postage affixed. Mail with incorrect postage will be returned by the USPS to the return address on the mailpiece. All stamped mail should be kept separate from all other mail.

Personal mail cannot be billed to a departmental account; no exceptions.

Mail to be metered that appears to be personal will be held at Campus Mail Service and the appropriate dean, director, or department head will be notified for clarification.

As a result of the new 13 ounce rule, Campus Mail Service will not accept mailpieces weighing over 13 ounces with postage affixed. All mailpieces with postage affixed weighing 13 ounces or more must be presented to a postal employee at a US Post Office retail service counter. However, USPS Click-N-Ship service and PC Postage from an authorized USPS vendor is acceptable.

The University requires all faculty and staff to receive their personal mail at home or permanent address. Occasional correspondence from friends and colleagues is not considered personal mail.

The University of Alabama should not be given as your permanent address.

When personal mail is addressed to a department address, you will be requested to notify your correspondents of your permanent mailing address.

Incoming mail items that have the characteristics of being a piece of personal mail will be held at the mail center for pick-up.

A persistent failure to comply with this policy could result in your personal packages being refused by the mail center and returned to the sender.

Personal mail includes, but is not limited to, things like:
-Utility bills
-CD’s and tapes
-Chadwick’s, Land’s End, QVC, and Victoria Secrets catalogs and orders
-Bank accounts not related to the University of Alabama
-Periodicals not relating in any way to your job
-Bills and invoices not related to the University of Alabama
